Voice Mail Migration Project
Q: Can I keep my old voice mail instead of migrating?
Due to equipment age, the old Voice Mail system (Octel) will be decommissioned by UBC IT in early 2012. Everyone must be migrated by that time to ensure that UBC IT can retire the old voice mail system.
Q: Can I access the new voice mail system by dialing 2-2525 as before?
The new access number for voice mail is 2-2010. Because we are performing a phased migration, we were not able to use the same access number for both systems.
Q: Can I forward messages from the old voice mail system to my new mailbox?
The old and new voice mail systems are not able to communicate. As a result, it isn’t possible to forward or send messages between the two systems. For this reason, UBC IT will not delete old voice mail boxes until two weeks after a departmental migration -- to ensure that there is time to review any voice mail remaining on the old system.
Q: Do I need to record a new greeting or can I keep my old greeting?
You will be required to record a new greeting when you set up your new mailbox. The first time you log in to your mailbox you will be prompted to set up a new PIN (to replace the temporary PIN), record your name and record a new greeting.
Q: Are the menu options the same as the old system?
Many of the options when listening to messages are the same. When you first log into your voice mail the initial menu is slightly different so you should listen to all of the options before selecting. Generally it is 1 to listen to voice mail messages and 6 to access your person options (to set up away messages, etc.).
Q: Do I have access to Unified Messaging?
Not at this time; we will be deploying Unified Messaging to the campus in the future.
Q: Will I receive my Voice Mail in my Email?
You may receive voice mail in your email, if your email address is listed in the FASmail GAL (Global Address List).
Q: The new voice mail system always plays message envelope (sender, date, time) information when I listen to my voice mail. Can it be turned off?
Unfortunately, it isn’t possible to turn off this feature as a preference in Exchange 2010. If this system behavior is seriously impacting your work, please contact the Voice Mail Project Team.
Voice Mail Accounts
Q: What kind of voice mail account do I have?
UBC IT is initially rolling out Voice Mail accounts to the University. However, UBC IT plans to provide two different types of voice mail accounts:
- Voice Mail: A Voice Mail account is intended to function much like a traditional voice mail box. It is only accessible over the phone, and it is managed by using the keypad on your phone. A Voice Mail Only account is provided to subscribers who do not have a FASmail account. Currently Voice Mail Only accounts are being implemented at UBC.
- Unified Messaging: A Unified Messaging service integrates voice mail with email (FASmail). Voice mail and voice mail options can be accessed via Outlook Web Access, Outlook and over the phone. A FASmail account is required for Unified Messaging.
Q: What is my voice mail storage quota?
Your storage quota depends on the type of account that you have:
- Voice Mail: 20 MB, which allows you to store about 200 60 second voice mail messages.
- Unified Messaging: 1 GB, shared with your email box (FASmail). However, voice mail will generally occupy a fraction of that space because of compression.
Q: What is my voice mail PIN?
Your voice mail PIN is a number used to authenticate to your voice mail account over the phone.
Q: How do I leave a voice mail message directly for someone without ringing their phone?
Dial your access number (2-2010)
- After hearing "to contact someone," press #
- After hearing "if you know the extension," press #
- Enter the extension (5-digit phone number)
- Immediately press # to compose and leave a message
Note: If you do not press # to leave a message, it will start dialing the number.
