General

Microsoft Office 365 applications can work across multiple devices (up to 5 PCs or Macs plus 5 tablets and 5 phones per user) simultaneously.
Microsoft office applications are available to eligible UBC employees for university business. In addition, you can download Office applications on your personal devices.
The license will automatically deactivate when you no longer meet the service eligibility criteria. There is no grace period.
Microsoft Office 365 is free-of-charge in 2021. The service cost will be assessed in the new fiscal year based on the Microsoft Enrollment for Education Solutions (EES) agreement.

Linux users can use the web version of Office through portal.office.com. There is no Linux desktop version of Microsoft Office available.
No, neither Access nor Publisher are available via portal.office.com as they are only available in downloaded client versions and not web versions.
Unfortunately, Mac users are unable to use Access and/or Publisher as they are not compatible with Mac devices.
Both Access and Publisher are included with the MS Office 365 download. Please refer to the "Getting Started" section.
Unfortunately, the Office Store is restricted based on UBC Privacy & Security Standards.

Eligibility

All active employees who meet the service eligibility requirements are automatically provided access to download Microsoft Office 365 applications. Please refer to the Service Eligibility section listed on the service catalogue.

How to Install and Uninstall

If you have a UBC-owned computer, you should already have Microsoft Office Professional Plus 2019 installed by your local IT administrator. Downloading the Office applications from portal.office.com is unnecessary and may not be possible if you are using a UBC-managed computer.
Please contact your local IT administrator to install Microsoft Office Professional Plus 2019 on your device.

Student Employees

  1. Open an MS Office 365 app of your choice.
  2. Click on your name in the top right corner of the app.

  3. If you are already logged in with your other account, then simply click on the other account in the drop-down list to switch over. If you are not logged in with your other account, click "Sign in with a different account" to sign in and switch accounts.

Note: Always ensure you are logged in with the correct account before creating and saving documents.

Support

Privacy and Security

No, do not share your UBC login credentials with others in the same household (which violates UBC policy) as it poses a security risk. The UBC license is intended for individual use. Other user accounts on a shared computer will need their own Microsoft Office license.
Please subscribe to a separate 'Microsoft 365 Family' license to share all user accounts on the shared computer. You can create multiple profiles with the 'Microsoft 365 Family' license.
