Setup Documents

Determine how many people you want on your mailing list. If it is only going to be a small list, you are probably better off just making a distribution list in the address book feature of your email software (e.g. Outlook, Eudora, etc…) However, if you want to email more than a few people and/or the numbers will potentially grow, you'll want to set up an mailing list.

To create a mailing list, do the following:
  • Go to the Mailing List Management Utility and log in using your Netinfo/Interchange username and password.
  • Click the Create button.
  • Type in an appropriate name for the mailing list in the space provided. The mailing list name should be two words separated by a hyphen.
    • For example, your-list is a valid mailing list name, but yourlist would not be a valid name because it is not hyphenated.
  • Click the Create button.
    • If the name is already taken, it will let you know and offer you the opportunity to try again.
    • If the name is not taken, it will create the mailing list for you.
  • You should now be returned to the Mailing List Management screen where you can select your newly created mailing list from the drop down menu. Select it and click Edit.
  • Before making active use of your list, we suggest using the web interface to perform the following tasks:
    • Set your list introductory and information messages. These are informational messages that are sent to new list members.
    • Set a new administrator and owner password. These passwords are used when issuing Majordomo administrative commands via the Email interface (particularly for the approve command if you want to moderate your mailing list.)
    • Set up the list administrators. These are other users that may assist you with management of the mailing lists. They will also receive all messages sent to the owner-your-list@interchange.ubc.ca address. Note that other administrators will not have access to the online Mailing List Management utility.
    • All new lists are set up with a default configuration that leaves the list open for anyone to post and anyone to subscribe. No archiving or digesting is enabled. Review the settings using the web interface and make changes where appropriate. The web interface includes help menus which describe all of the options.
    • You may wish to use the web interface to add yourself to the list. The list owner is not automatically made a member of the list.
  • To send a message to your newly created mailing list, you would have to send a message to the name of your list with @interchange.ubc.ca attached to the end.
