Junk Mail (SPAM) is an ongoing issue that has no perfect solution. In our efforts to curb SPAM, we have added SPAM identification features to our FASmail email service. Two methods of SPAM detection have been implemented:
- An incoming mail message's originating IP address is checked in a database to see if it matches any known spam hosts or relays. If there is a match, then the message will be immediately rejected.
- The UBC mail relays scan incoming email and determine whether it is SPAM by looking for specific patterns and occurrences in the email headers and text. After the message in analyzed, it will be given a spam-level rating. The UBC mail relays use rules-based analysis to analyze messages for characteristics that indicate whether the messages are SPAM or not. Each pattern in a message that matches a rule will add (or subtract) from the total SPAM-level rating of the message. If the message receives a high enough rating, it is marked as a probable SPAM message and the following header is added to the message: X-UBC-Warning: [SPAM]. We explain how to use this header to filter out Spam in the instructions below.
You can set up a server-side spam filtering rule to look for this header and automatically move tagged messages to a Junk Mail folder. These instructions can be found below.
The advantage of setting up a server-side rule is that you do not have to have your email client (e.g. Outlook) connected to your mailbox for the spam filtering rule to run. When the message arrives, it will automatically be redirected to the appropriate folder based on how your rule is configured. The drawback of this setup is that it will direct the message to a Junk E-Mail folder in your mailbox on the server. If you use the POP3 protocol to connect to your FASmail mailbox, you won't have access to it unless you log into the Outlook Web App (FASmail Webmail) to review the contents of your Junk E-Mail folder. The majority of FASmail users do not use POP3 to check their email and will have access to this folder.
- Log into your the FASmail webmail (OWA) client at www.mail.ubc.ca
- Click on the "Options" drop down menu in the upper right corner of the window and select "Create an Inbox Rule…"
- Click on down arrow next to the "New" button and select "Create a new rule for arriving messages…"
- A pop-up window will appear called "New Inbox Rule". Click on the "More Options" link.
- Under where it says "When the message arrives, and:", select "It includes these words" and then "In the message header…"
- In the text field under "Specify Words or Phrases", type in: [SPAM]
- Note: Be sure to include the square brackets.
- Click the plus symbol to the right of the text field to add the text to the Search list.
- Click "OK" to return to the previous screen.
- Under where it says "Do the following:", select "Move, copy, or delete" and then "Move the message to folder...
- Select "Junk E-Mail" and press "OK"
- Click "Save".
- You may receive a warning after clicking the "Save" button. This warning is only relevant if you had previously set up any rules in Outlook that you have turned off. If you click "Yes" to the warning message, it will remove any disabled Outlook rules that you had previously set up. Since they are turned off, there is no real impact to you other than you may have a recreate that rule if you need it again in the future.
You must click "Yes" to complete the setup of this spam filtering rule.
- You should see the rule that you just created in the Inbox Rules list. If you have more than one rule in the Inbox Rules list, highlight the rule that you just created and click the up arrow to move it to the top of the list.
- Ensure that the rule that you created is at the top of the list.
- Click the "Mail" link at the upper left side of the window to return to your INBOX.
- You have now set up a server-side rule to move suspected junk mail messages into your "Junk E-Mail" folder. Please regularly check this folder to ensure that there are no false positives that appear in it. Please note that this will not filter out all spam but it should reduce the amount that you receive in your INBOX.
