Project Approach

The VoIP Migration Project will begin on a building-by-building basis. The Project Team will identify a building for migration, and then follow a two-step process to conduct the migration:

Step 1: Installation

When UBC IT begins Step 1 at a building, they will first tell building DVAs when phone installations will take place. The UBC IT installation team will then go through the building at the scheduled time, and install the phones.

After the new VoIP phones have been installed, users will continue to place and receive calls on their old Nortel phones. Their VoIP phone will not yet function properly and is only available for limited use if absolutely necessary. The purpose of this step is to place the new phones on desks and verify that they are working properly, ensuring that the cutover (Step 2) goes smoothly. It is important that users do not unplug or disconnect the VoIP phone on their desk.

Step 2: Cutover

Once Step 1 has been completed, UBC IT will contact DVAs in the building with a cutover date and time. During this window, UBC IT will cutover users from their old Nortel phones to the newly installed Cisco VoIP sets.

The cutover process will take place entirely on the backend – users will not be required to make any changes to their phones, and access to offices or desks will not be needed. As the cutover takes place, users will notice calls starting to arrive on their VoIP phone – and at the same time, their Nortel phone will cease working. Once the Nortel phone has stopped working for a user, their cutover has been completed. UBC IT will have a technician onsite during the cutover to answer any questions, and investigate any issues.

Also, during the cutover process, voicemail PINs will be reset. This is a side-effect of programming voicemail boxes to light the message waiting lamp on VoIP phones. If users find that they cannot access their voicemail box with their old passcode, they should try their new temporary voicemail PIN distributed by their DVA.

One day after the cutover, UBC IT technicians will arrive at the building to collect the old Nortel phones.
